Participants will be expected to arrive on Monday October 5th afternoon, and will leave on Friday October 9th afternoon (after lunch).

The opening session of the conference is scheduled to take place on Tuesday October 6th at 8:30;

The conference will end on Friday October 9th after lunch.

Session hours are 8:30 - 12:00 and 13:30 - 17:00

Sessions of the conference will be held in the ICISE conference Center.

The following equipment will be available:

• video projector for computer presentations
• internet access will be available at the conference site.
  A wireless hub is installed and covers the whole conference building

Payment

Payment can be made either

• on line (the preferred method) - in that case, follow this link
• or by cash at the conference site
• by interbank transfer; in that case, please ask the conference bank details to the secretariat (rencontres.vietnam@gmail.com)

The transfer should indicate clearly your name to identify the payee. Please inform the conference secretariat by fax or email that the transfer has been done. You should obtain proof of payment and hand it to the conference secretariat at the conference site. It will take at least four (4) weeks for our account to be credited, so please have the transfer made before September 5th, 2026.

Accommodation in the four star Seagull Hotell Accommodation is guaranteed if your registration is made before August 24th.

All sessions will be held in the ICISE conference center, 10 minutes taxi (or one hour walk) away from the hotel. (you can visualise it on this map). Daily bus transfer (morning and end afternoon) will be provided by the conference organization.

Breakfast will be served in the hotel for all participants. Lunch and dinner will be served at ICISE (with few exceptions at a downtown restaurant). The cost per person is:

• For Seagull Hotel : 489 An Dương Vương, Quy Nhon, 591300, Viêt Nam The cost per person (full board for 4 days) will amount to 280 USD for a double or sharing room and 380 USD for a single room. Cost per additional day is 140 USD for a double room(2 persons) and 95 USD for a single room.

Payment for board and lodging should be online in Vietnamese currency (VND) on this site.
In unavoidable situations, payment can be made upon arrival in cash or by credit card (the latter will incur a small supplement).

Important Note:
Hotel reservations are made for the whole duration of the meeting, i.e. from Monday afternoon, October 5th to Friday afternoon October 9th. Please note that the total cost of the meeting cannot be reduced even in case of partial attendance.

Please note also that if you arrive before midday and wish your room to be made available immediately, you will be charged for an extra day. You must inform us so that the hotel can prepare your room in advance.

TRAVEL

There are two main international airports in Vietnam :

Hanoi (Noi Bai airport : HAN) and Ho Chi Minh (Tan Son Nhat airport : SGN).

Since there are more flights from Ho Chi Minh to Quy Nhon, it is more convenient to fly from foreign countries to Ho Chi Minh than to Hanoi.

Immigration

All participants do require a visa to visit Vietnam, except for few exemptions listed below.

Vietnam Visa exemption is granted to holders of a passport from:

• Thailand, Malaysia, Singapore, Indonesia, Cambodia and Laos for visits of 30 days at the maximum.
• Philippines for visits of 21 days at the maximum.
• Germany, France, Italy, Spain, UK, Russia, Japan, Korea, Denmark, Sweden, Norway and Finland for visits of 45 days at the maximum.
  This is valid until March 7, 2028.

To obtain a visa

• you may apply for a conference visa through the Internet: e-Visa
• while filling up the form, on the item "purpose of entry" you should select "summit, conference"
• the e-visa is generally obtained in 4 working days and valid for 90 days. Beyond this delay, you should check your application status by following the instructions indicated on the e-visa application webpage.
• your passport should be valid more that 60 days after date of entry in Vietnam
• the e-visa cannot be renewed nor extended
• it costs 25 USD not refundable even when the visa is refused

• Note : if you want to apply for a conference visa at the Vietnamese Consulate of your residence country instead of applying for a conference evisa online, you should first get a "visa approval letter", which has to be requested for you by the conference organiser. So you should ask for it as soon as possible, and this at the latest on September 5, to the conference secretariat (it may take 2-3 weeks and will cost 120 USD to be paid at registration, the first day of the conference). Then you will be able to get the actual visa at your nearest vietnamese consulate (within a few days - 3 to 6).
